These Terms & Conditions govern your use of the JapanVintage website and your purchase of products through our online store.

By accessing our website, placing an order, or purchasing a product from JapanVintage, you agree to these Terms & Conditions.

If you do not agree with these terms, please do not use our website or place an order.

1. About JapanVintage

JapanVintage operates an online retail business specializing in vintage and pre-owned bags and related fashion items sourced from Japan.

Our inventory may include products that are:

  • Currently held by JapanVintage;
  • Available from third-party sources in Japan;
  • Offered on a backorder basis;
  • Sourced on demand after an order is placed; or
  • Available only in limited quantities.

Because vintage products are often unique, availability can change rapidly.

2. Product Descriptions

We make reasonable efforts to ensure that product descriptions, photographs, measurements, condition information, materials, and other product information are accurate.

However, vintage and pre-owned products may naturally have characteristics resulting from age, storage, previous use, manufacturing variations, or restoration.

Customers should carefully review all photographs, descriptions, measurements, condition grades, and other available information before purchasing.

Minor imperfections that are characteristic of vintage or pre-owned products do not necessarily constitute defects.

3. Vintage Condition

Vintage products may show signs of age and previous use, including:

  • Scratches;
  • Scuffs;
  • Creasing;
  • Patina;
  • Discoloration;
  • Hardware wear;
  • Surface wear;
  • Minor stains;
  • Storage marks; and
  • Age-related odors.

Any material condition issue that is disclosed in the product description or reasonably visible in the photographs may not be considered a defect or misrepresentation.

4. Product Availability

Product availability displayed on the website may change without notice.

This is particularly important for vintage products because many items are unique or available from third-party sellers.

A product being displayed on the website does not necessarily mean that JapanVintage physically owns the item at the time the order is placed.

For products identified as backorder or sourcing-on-demand, JapanVintage may need to obtain the product after the customer places an order.

5. Backorders

When a customer places a backorder, JapanVintage may attempt to source the product from a third-party seller, auction, marketplace, retailer, or other source in Japan.

A backorder is subject to successful sourcing.

JapanVintage does not guarantee that a third-party source will continue to hold the item after the customer’s order is placed.

If JapanVintage cannot source the item, we may cancel the affected order and provide a full refund of the amount paid to JapanVintage.

We will not knowingly substitute a materially different product without the customer’s approval.

6. Backorder Pricing

JapanVintage generally attempts to maintain the advertised product price after an order is placed.

However, if a third-party source becomes unavailable or the product can only be obtained under materially different conditions, JapanVintage may determine that it cannot reasonably fulfill the order.

In such circumstances, JapanVintage may cancel the order and issue a full refund rather than substitute a materially different product or require the customer to pay an unexpected additional amount.

7. Orders & Acceptance

Placing an order constitutes an offer to purchase the selected products.

An order confirmation confirms that we have received your order request but does not necessarily mean that the order has been finally accepted or that a backorder item has been successfully sourced.

JapanVintage may decline or cancel an order where:

  • The product is unavailable;
  • We cannot source a backorder item;
  • There is a material product or pricing error;
  • The transaction cannot be processed;
  • Shipment is prohibited or impractical;
  • Customs or import restrictions prevent fulfillment;
  • Fraud or unauthorized payment activity is suspected; or
  • Fulfillment would violate applicable laws or regulations.

If we cancel an order before fulfillment, we will generally refund the amount paid for the affected order.

8. Pricing Errors

We make reasonable efforts to maintain accurate pricing.

However, occasional typographical, technical, system, currency-conversion, or other pricing errors may occur.

If an item has been listed at an incorrect price due to an obvious error, JapanVintage reserves the right to cancel the order and issue a full refund.

We will not intentionally charge a customer more than the price agreed at checkout unless the customer expressly agrees to the additional amount.

9. Payment

Orders must be paid using an available payment method displayed at checkout.

Payment authorization may be performed by third-party payment providers.

By placing an order, you authorize the applicable payment provider to process the amount shown at checkout.

JapanVintage does not store complete payment card information when payment processing is handled by a third-party payment provider.

10. Fraud Prevention & Order Verification

JapanVintage may conduct reasonable fraud-prevention or order-verification procedures.

We may request additional information when necessary to verify an order, payment, identity, shipping address, or transaction.

If an order cannot reasonably be verified, JapanVintage may cancel the order and refund the payment.

11. Shipping

Shipping terms are governed by our Shipping Policy.

Estimated shipping times are estimates only and are not guaranteed delivery dates.

International shipments may be delayed by customs, carriers, weather, government actions, or other circumstances outside our reasonable control.

12. Customs Duties & Import Taxes

International purchases may be subject to customs duties, import taxes, brokerage fees, and other import-related charges.

Where available, JapanVintage may use Zonos or another cross-border service to calculate and collect applicable charges at checkout.

If duties and taxes are collected through a guaranteed landed-cost service, the applicable service provider’s terms and limitations also apply. Zonos’ Landed Cost Guarantee has specific eligibility requirements and exclusions. (Zonos)

Customers are responsible for providing accurate information required for customs clearance.

13. Landed Cost / DDP

Where JapanVintage offers DDP or guaranteed landed-cost shipping, applicable duties, taxes, and eligible import-related fees may be collected at checkout.

The specific treatment of these charges depends on the shipping service and cross-border provider used for the order.

A guaranteed landed-cost service does not necessarily cover charges resulting from inaccurate product descriptions, HS codes, country-of-origin information, customs documentation, or other excluded circumstances. (Zonos)

14. Returns & Refunds

Returns and refunds are governed by our Return & Refund Policy.

Unless otherwise required by applicable law, customers must comply with the return deadlines and conditions stated in that policy.

The Return & Refund Policy forms part of these Terms & Conditions.

15. Backorder Cancellation

For backorder orders, cancellation may depend on the stage of the sourcing process.

If JapanVintage has not yet secured or purchased the item, cancellation may generally be accepted with a full refund.

If JapanVintage has already secured or purchased the item specifically for the customer’s order, the request may be treated as a change-of-mind return.

Please refer to the Return & Refund Policy for the applicable return and cancellation conditions.

16. No Unauthorized Substitution

JapanVintage will not knowingly replace a backordered product with a materially different product without obtaining the customer’s approval.

If the originally ordered product cannot be sourced, JapanVintage may cancel the order and issue a full refund.

17. Authenticity

JapanVintage makes reasonable efforts to source authentic branded products and may conduct inspection or authentication procedures appropriate to the product and circumstances.

However, because products may be sourced from third-party sellers, marketplaces, auctions, and other sources, the precise authentication process may vary by item.

Product descriptions will not knowingly misrepresent the authenticity status of an item.

18. Third-Party Sources

Some products may be sourced from third-party sellers, auction platforms, marketplaces, retailers, or other independent sources.

JapanVintage does not control the actions, inventory, pricing, shipping, cancellation decisions, or availability of third-party sources.

If a third-party source fails to complete a transaction or the product becomes unavailable, JapanVintage may cancel the affected order and refund the customer.

19. Intellectual Property

All content on the JapanVintage website, including logos, branding, text, graphics, photographs, product descriptions, website design, and other materials owned or licensed by JapanVintage, is protected by applicable intellectual property laws.

You may not reproduce, copy, distribute, modify, publish, sell, or commercially exploit JapanVintage content without prior written permission, except where permitted by law.

20. User Conduct

You agree not to:

  • Use the website for unlawful purposes;
  • Attempt to interfere with website operation;
  • Submit fraudulent or misleading information;
  • Attempt unauthorized access to website systems;
  • Use automated systems to interfere with the website;
  • Abuse payment or refund systems;
  • Engage in fraudulent chargebacks; or
  • Violate applicable laws or regulations.

JapanVintage reserves the right to restrict or terminate access where reasonably necessary to protect the website, business, customers, or payment systems.

21. Chargebacks & Payment Disputes

If you believe a transaction is incorrect or there is an issue with your order, please contact JapanVintage before initiating a payment dispute whenever reasonably possible.

We will make reasonable efforts to resolve legitimate issues.

Nothing in this section limits any rights available to consumers under applicable law.

22. Force Majeure

JapanVintage will not be responsible for delays or inability to perform caused by circumstances beyond our reasonable control, including:

  • Natural disasters;
  • Earthquakes;
  • Severe weather;
  • War;
  • Government actions;
  • Customs restrictions;
  • Carrier disruptions;
  • Strikes;
  • Pandemics or public-health emergencies;
  • Cybersecurity incidents;
  • Infrastructure failures;
  • Third-party seller failures; or
  • Other events beyond our reasonable control.

Where reasonably possible, we will inform customers of significant disruptions affecting their orders.

23. Limitation of Liability

To the maximum extent permitted by applicable law, JapanVintage will not be liable for indirect, incidental, special, consequential, or punitive damages arising from the use of our website or purchase of our products.

Nothing in these Terms & Conditions excludes or limits liability that cannot legally be excluded or limited under applicable law.

24. Website Availability

We attempt to keep the JapanVintage website available and functioning properly.

However, we do not guarantee that the website will always be available, uninterrupted, secure, or error-free.

Temporary interruptions may occur due to maintenance, technical issues, hosting problems, security incidents, or other circumstances.

These Terms & Conditions shall be interpreted in accordance with applicable laws.

Where legally permitted, disputes relating to purchases from JapanVintage will be subject to the jurisdiction and applicable laws designated by JapanVintage in accordance with its business registration and applicable consumer-protection requirements.

Nothing in these Terms & Conditions is intended to remove or restrict any mandatory consumer rights that apply to customers under applicable law.

28. Severability

If any provision of these Terms & Conditions is found to be invalid, unlawful, or unenforceable, the remaining provisions will continue to apply to the extent permitted by law.

These Terms & Conditions, together with the applicable:

  • Return & Refund Policy;
  • Shipping Policy;
  • Privacy Policy; and
  • Other policies referenced on the website,

constitute the terms governing your use of the JapanVintage website and your purchases from JapanVintage.
